Dealer management system (DMS) plug-ins
Our plug-ins send job cards printed from the dealer's DMS to the dealer's WarrantySolve account.
- Reads: The extension works only with DMS servers the dealership authorises. It checks browser tab addresses to recognise job card PDFs from those servers. It retrieves matching PDFs but does not read the contents of unrelated websites, collect browsing history or send unrelated browsing activity to WarrantySolve.
- Sends: Once the PC is enrolled and access to the dealer's DMS server is authorised, the extension automatically transfers recognised job cards to the dealership's WarrantySolve account. These documents may contain customer details, vehicle information and repair records. The extension sends documents only to WarrantySolve, where they are processed to prepare warranty claims. While Chrome is open, it also checks in with WarrantySolve regularly, sending the plug-in's version and the addresses of the DMS servers it is allowed to read, so the dealer can see that each PC is still connected.
- Stores on the PC: Device enrolment information used to securely identify the PC to WarrantySolve, and when a job card was last sent or failed to send and why it failed, shown in the plug-in's settings. Removing the plug-in deletes this information from the PC.
The use of information received through our DMS plug-ins adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. It is used only to provide this service and keep it secure. It is not sold, used for advertising or profiling, or used by our AI providers to train their models. Our staff access this information only where necessary to provide support requested or authorised by the dealer, investigate security issues, or comply with legal requirements, subject to the Chrome Web Store Limited Use requirements.
DiagSync diagnostics app
DiagSync is a Windows app that sends the diagnostic sessions saved on a workshop PC to the dealer's WarrantySolve account, so they can be matched to repairs and used to prepare warranty claims.
- Reads: Only the folder the dealership chooses, where the diagnostic tool saves its sessions. It does not read other files on the PC.
- Sends: Once the PC is connected, DiagSync automatically uploads new diagnostic session files to the dealership's WarrantySolve account. These files contain vehicle information, such as the VIN, mileage and fault codes, and the results of the tests run on the vehicle. Every 15 minutes, and when the PC wakes, it also checks in with WarrantySolve, sending the app's version, so the dealer can see that each PC is still connected. If someone at the dealership asks for support and chooses to send DiagSync's logs, it sends its recent activity log, which lists the files it uploaded and any errors, with the app's version, the chosen folder and the PC's Windows version and computer name.
- Stores on the PC: A key used to securely identify the PC to WarrantySolve, held in Windows' key storage, and DiagSync's settings: the chosen folder, which files it has already sent, when it last uploaded, and its activity log. Uninstalling DiagSync deletes its settings and log. Removing the PC in WarrantySolve stops its key from being accepted.
Information received through DiagSync is used only to provide this service and keep it secure. It is not sold, used for advertising or profiling, or used by our AI providers to train their models.
Who we share it with
We do not sell personal data. We share it only:
- with service providers that host the service (in the EEA and UK) and provide AI document processing (in the US and elsewhere), under written agreements. AI providers do not use it to train their models.
- with the manufacturer's warranty systems, to submit claims on the dealer's instructions.
- where the law requires it.
Where personal data is transferred outside the EEA or the UK, we use the safeguards required by data protection law.
Security
Data is encrypted in transit and at rest. Access is restricted to the dealer's users, and to our staff and service providers as needed to run and secure the service.
How long we keep data
We keep records of work and claims for as long as needed to provide the service, as agreed with the dealer. Staff accounts and device records are kept while the dealer's account is active. When a dealer closes its account, we return or delete its data as the dealer instructs, unless the law requires us to keep it. Backups are removed as they expire. Logs are kept for up to 30 days.
Dealers may request deletion at any time: support@warrantysolve.com.
Your rights
Under data protection law, you have rights relating to your personal data, including the right to access and correct it, and in certain circumstances to request deletion, restrict processing or object to its use.
Dealership staff: For personal data that WarrantySolve controls, contact support@warrantysolve.com.
Dealership customers: Your dealership controls the customer and vehicle information processed through WarrantySolve. Please contact your dealership to exercise your data protection rights. We will assist the dealership with requests as required by law.
You also have the right to complain to the relevant data protection authority.
